How to Flash Sale With IndieCommerce

A flash sale is a time-sensitive offer or promotion on select products; this window of time can vary from a few hours to a full day.  It creates a sense of urgency for customers and drives the fear of missing out on an exciting or exclusive product or associated event.

Flash sales lead to a sudden increase in orders and web traffic; it’s important to consider not only staff availability and needs but to manage customer expectations.  Below are some best practices for setting up flash sales and ensuring a smooth experience for your store AND your customers. 

A flash sale may include:

  • Preorder campaigns
  • Limited-quantity signed editions
  • Author events, which are frequently connected to book signings or preorder releases 
  • Seasonal programming such as summer camps or reading programs

Although other use cases exist, these are the most typical examples observed among our members.

Keep Us Informed

Please contact the IndieCommerce team at staff@bookweb.org as early as possible once your flash sale date and time are finalized. Giving us a few days of advance notice allows our support team to coordinate with our hosting provider ahead of time. This ensures we can accommodate the expected surge in traffic and monitor the system closely during your sale.

 

Limiting Stock on IndieCommerce Site

For flash sales, Website Stock is highly recommended to help control available quantities on the website while holding back a portion of your inventory.  This is especially important if the item is simultaneously sold at the store or in other channels outside of the store's website.

This feature is available only for store-created products.  You can review the help doc for this feature here.

Advantages:

  • Available stock is automatically decremented as customers place orders.
  • The Add to Cart option is automatically removed when inventory reaches zero.
  • Update an item's availability instantly as 'Out of Stock'
  • Set specific thresholds for stock counts and automated alerts
  • Send direct notifications to designated team members.

Manual oversight is essential, but this tool can be incredibly helpful in setting customer expectations.

Hold Back Some Inventory

In addition to configuring Website Stock, it is extremely important to consider reserving a portion of the inventory as protection against overselling high-demand items or event tickets. This can occur if thousands of visitors to your website load the item into their cart and they all try to checkout at the same time. Establishing an inventory buffer offers valuable security during high-volume sales events.

For instance, if you are hosting to a 500-seat event featuring a signed book, consider reserving a 15% safety buffer by listing 425 tickets online. If high demand result in 50 additional orders beyond your listed limit, your backup stock will  cover the excess completely. Any remaining inventory can then be offered in-store or listed on your website once traffic normalizes.

 

Setting Up Product on IndieCommerce

Below are the product options available on IndieCommerce for flash sales.  These are compatible with the Website Stock feature:

  • Non-Shippable Store Merchandise - Event ticket where no book is involved in the purchase OR event ticket + book are being picked up at the event
    • Pros:
      • Customers are not required to enter a shipping address
    • Cons:
      • Out-of-state customers will not be charged sales tax, even if the event is happening at the store
  • Store Merchandise (Shippable) - Event ticket where book is included, may need customer’s shipping address
    • Pros
      • Ability for customers to have related books or products shipped to them
    • Cons
      • Customers will need to enter a shipping address. If this book is for an event, customers must be communicated with to select ‘Event Pickup’ during checkout.
  • Book Variation - if there are signed copies and/or inscriptions with a unique SKU
    • Pros
      • Offer unique product with option for inscription
      • Additional fields available for further customization
      • Metadata carries over from parent book, can be customized
      • Can be shipped or marked as pickup only
    • Cons
      • Will require a separate SKU from the regular book
  • Services - No book involved at all (classes, summer camp, other offerings)
    • Pros
      • Highly customizable for unique offerings without associated products
      • Customers are not required to enter a shipping address
    • Cons
      • Are best suited to programming that functions as the product itself

It’s always a best practice to review and confirm tax settings associated with any store-created merchandise or offerings. Lastly, if shipping is applicable, be sure to confirm shipping settings.

Velocity Filters in Authorize.net

Beyond the website, potential bottlenecks can occur within the hourly and daily velocity filters in the store's Authorize.net account’s Fraud Detection Suite settings.

These filters prevent too many orders from coming through per hour, and per day.  Since flash sales tend to be well above a store’s daily average and occur quickly in the span of an hour or less, these filters must be adjusted ahead of time.

Set these thresholds high enough to ensure smooth customer checkout, yet low enough to preserve security. Because store requirements vary, factors like past sales volume and current stock levels should be evaluated when configuring them.

 

Order Management

To help organize orders, utilize a unique order tag for all orders associated with the flash sale by creating a new order tag.  

You can also create an Order Management Shortcut for quick access to orders using that tag.

 

Staff Availability

Be prepared to monitor orders, as well as emails and phone calls from customers.  This entire process requires a human touch to actively monitor orders and communication.  

Although our platform provides tools and safety features to assist with high transaction volumes, nothing beats manual monitoring.  Watch for customer reports of endless loading screens, unspecified error messages, or failed order confirmations.

 

How do I know when a flash sale might be ‘Too Big’ for my Website?  

Knowing whether a flash sale will overwhelm your IndieCommerce website is more of an art than an exact science. Each event or product launch involves many unpredictable factors, such as unexpected social media activity, media attention, automated bot traffic, payment gateway delays, and the author's reach.

There is no single magic formula to predict system strain. The best approach is to start small by testing the waters with lower-demand drops, learn how your site behaves under pressure, and closely monitor customer feedback. 

If your team starts seeing clear tell-tale signs like a sudden spike in emails or calls from frustrated shoppers reporting endless loading screens, unspecified error messages, or failed order confirmations, your website is likely overwhelmed under the load. 

Pay attention to these early warnings; when high-demand authors, strictly capped ticket volumes, or viral marketing threaten to push traffic beyond what your website can smoothly process, it is time to consider offloading the drop to a dedicated platform like Eventbrite.

Consider hosting the sale on Eventbrite or another ticketing platform if you answer YES to either of the following:

  • Is there massive celebrity/influencer publicity that could trigger extreme traffic spikes?
  • Is inventory strictly capped with zero tolerance for overselling (e.g., physical venue seating or limited inventory)?

Eventbrite does offer substantial discounts to ABA member stores. Click here for more details. They also offer a CSV export that can be customized for export of your Eventbrite online sales. This allows you to import them into bulk shipping solutions such as Stamps.com, Pirateship.com and many other bulk shipping solutions that will accept a CSV file.
